How to automate accounting: 7 steps
Automating accounting starts not with buying software but with the flow of data: where money comes from (bank, cash, cards), where documents come from (Didox, paper, PDF) and who makes decisions. Entry, matching and checks move to the software; decisions on unclear transactions, accounting policy and filing stay with the accountant. Here are seven steps.

Seven steps
- List your sources. Every account and bank, cash, corporate cards, where documents come from (Didox, email, paper), and what is kept in 1C or Excel.
- Pick a start date. Usually the start of a month or quarter. You need balances at that date: cash, receivables and payables (a trial balance from 1C or Excel).
- Upload statements regularly. Weekly or more often. Duplicates are dropped; transfers between your own accounts do not count as income.
- Bring documents into one flow. Didox (API or export file), PDFs and scans — so they can be matched to payments automatically.
- Confirm category rules. Rent, utilities, bank fees — decide once, then it is automatic.
- Review questions weekly. Missing document, mismatch, duplicate — do not let them pile up until month end.
- Close the month and check taxes. Balances agree with the statement, questions are closed, the tax estimate is checked before the deadline — month-end close checklist.
What not to automate
- Accounting-policy decisions: advances, fixed assets, entertainment.
- Filing returns and responsibility for them.
- Tax treatment of transactions without documents — get the document first.
Common mistakes
- Starting without opening balances — the balance sheet and debts come out wrong.
- Uploading statements once a month — questions pile up and get rushed on the last day.
- Classifying the same transaction by hand every time — create a rule.
- Mixing cash with the bank — cash is a separate account (cash accounting).

Frequently asked questions
How long does automation take?
It depends on the number of sources. A company with one bank and Didox can upload its first statement the same day the opening balances are ready.
Do I still need an accountant?
Yes. The accountant decides the questions, sets accounting policy and files the returns; entry and matching move to the software.
Can I automate without a bank API?
Yes. Uploading an Excel/CSV statement from any bank is enough — the result in the books is the same.
